Role overview

Mission The Central Vault officer is responsible for the management, security and operations of the precious metals vault and physical certificates including security and traceability of all assets entering and leaving the vault. He is working within our institution procedural guidelines to ensure a high quality of service is consistently maintained, with optimum efficiency and all standard operating procedures and Key Performance Indicators being adhered to. He will be working closely with internal management on the strategic global growth of our projects; offering products and services combined into innovative offerings and operational knowledge. Essential Duties Vault main tasks - Places, and fulfills orders from the Private Banking / Clients to maintain required levels of precious metal available in the vault - Ensure physical delivery to Relationship manager and Clients - Handling receipts and deliveries of physical securities and metals - Maintains internal procedures up to date in regards with the security and regulations of the Bank’s vault. - Performs inventory maintenance, verification and accounting entries with reconciliation department - Performs, confirms and maintains banking insurances according to the vault valuation. Trading tasks - Processes, monitors and validates precious metals and private placement - Ensure good receipt of Private Equity subscription and redemption proceeds with external funds managers - Reconciliation and monitoring of holdings, entitlements determination, pending positions - Ensure daily proper record-keeping and development of new activities/business with external providers in regards with vault activities.

Supervisory Responsibility - Coordinates and manages Vault activities at all bank branches - Ensure allocation to client accounts and physical securities settlement - Precious metals receiving - Receives and verifies vault deposits, inspects the integrity of bags and seals and notifies management of exceptions. - Ensure follow-up with private company to maintain self-evaluation of private equity - Perform procedures for opening and closing of operations, including vault, alarm and door duties - Ensure that security/control procedures are correctly performed in accordance with established policies Specific competencies - Strong knowledge on financial instruments (equities, bonds, warrants, private placements, restricted securities, funds and other), and their operating flows - Sense of risk associated with the delivery and receipt of securities - Flexibility, adaptation to change - Strong analytical skills with an ability to identify problems and propose solutions. - Sense of priorities and capacity to take decisions - Consistently comply with internal & external regulation Skills and Abilities - Technical knowledge of detailed domain (Compliance and legal competencies appreciated) - CFC bank or equivalent - Fluency in English and French - Experience of at least 5 years in a similar position - Discretion and excellent presentation - MS Office / Banking software / Swift Business daily contacts - Clients - Private Banking - Operations department / Treasury & Trading - Compliance department / Legal department - IT - Banks / Transfer Agents/ Brokers / Custodians / Funds managers
