Role overview

Pensum: 80–100% | Baden As an Executive Assistant, you support the Chief Financial Officer T&S and the Head Risk Management T&S professionally, proactively and with a high level of personal responsibility in administrative, organizational and coordination matters.

Contribute significantly to the efficient management of day-to-day business and the quality assurance of management processes.

  • Central contact person and organizational interface for the Chief Financial Officer T&S and the Head Risk Management T&S
  • Proactive calendar, appointment and pending coordination including prioritization of relevant topics, deadlines and documents
  • Preparation, coordination and follow-up of meetings, workshops and management appointments including agenda, documents and follow-up
  • Pre-sonification, prioritization and processing of incoming e-mails as well as consistent tracking of open pendencies
  • Professional coordination with internal and external stakeholders and ensuring a reliable flow of information
  • Preparation, structuring and quality assurance of presentations, decision templates and communication documents
  • Organisation of business trips, workshops and other sectoral activities

  • Commercial or comparable training
  • Several years of relevant professional experience in a comparable assistant or management support function, ideally in a demanding management environment
  • Very good knowledge of the Microsoft 365 / Office Suite, especially Outlook, PowerPoint, Word, Excel, Teams and SharePoint/OneDrive
  • Secure use of digital collaboration tools and basic understanding for the responsible use of AI-based applications in compliance with confidentiality and data protection
  • Very good organizational skills, strong prioritization skills and high reliability in a dynamic environment
  • High discretion, good judgment and quality sensitivity in dealing with confidential information
  • Strong communication skills, professional appearance and sovereign interaction with different stakeholders
  • German and English, at least C1 level
