Main responsibilities

  • Main tasks and responsibilities Operational management
  • Institutional coordination with the partner travel agency (contract, monitoring, quality, PDO).
  • Remediation of cases of dissatisfaction with offers made by the travel agency.
  • Supervision of the booking tool (OBT): support and user guides, training.

  • Coordination and updating of guidelines for the organization of professional and student travel.
  • Supervision of the following administrative support activities (at the time of publication within HPV):
  • Monitoring of procedures for intercampus travel (staff and students).
  • Monitoring of public transport subsidy procedures for the community (CFF Webshop, Community subscriptions, AG, half-tariff and international train tickets). Budget monitoring & analysis
  • Development of the budget related to service providers and tracking of expenditures.
  • Collaboration with EPFL Sustainability to provide the data needed to calculate the environmental footprint of professional and student travel.
  • Collaboration with the procurement department to monitor contracts with various external suppliers.
  • Collaboration with the Financial Service for the analysis of expenses related to professional and student travel. Communication and support
  • Internal communication on tools, guidelines, training.
  • Conduct of ad hoc surveys on EPFL travel services and internal and external communication of results

  • EPFL's representation on external networks and working groups dedicated to travel and sustainable mobility, with preparation of documents and attendance at sessions (e.g.: Swiss Network for Sustainable Academic Travel)
  • Autonomy, sense of service, ability to federate, and great rigour. Mastery of French and English;
  • German is an asset.
  • A multidisciplinary working environment in an internationally renowned school. A flexible framework within a dynamic team.
  • Close collaboration with committed and multidisciplinary teams.
