Portfolio Manager & Project Delivery Standards
Role overview
Portfolio Management - Own and oversee the Project Delivery portfolios for Region Europe , ensuring transparency, consistency, and financial control across all projects - Manage, review, and challenge the financial forecasts for all projects within the regional portfolios, ensuring accuracy and alignment with approved budgets - Coordinate and drive regular forecast update cycles , including formal requests and follow-ups with Program managers and KAM - Prepare and lead dedicated review meetings with Program Managers, KAM and Financial Controllers to assess project outlooks, forecast evolution versus budget, and the status of invoices and contracts - Ensure alignment between Jira data and financial forecasts , identifying discrepancies and driving corrective actions where required - Define, prepare, and maintain regional reporting for: - Region Status Meetings with the Delivery Head - Monthly Delivery and Financial Review meetings with Regional and Delivery Heads and Finance Controlling - Contribute to the identification, assessment, and reporting of delivery risks for Region Europe, providing inputs to the Risk Committee - Review the external request process - Verify the quality of the PSR (Project Status Report) content before any Weekly Project Status Meetings Delivery Standards - Define and maintain Project Delivery standards , including processes, templates, and tooling, to ensure harmonized ways of working across the organization.
This includes designing and documenting new processes using BPMN , leveraging in-depth knowledge of Avaloq internal processes , and proactively addressing open points by coordinating and aligning with all relevant stakeholders involved in the respective activities - Update and maintain the GIM and Adonis in line with newly defined delivery standards - Lead and manage company-wide communication related to new or updated delivery standards, ensuring clarity and adoption across regions and functions - Actively participate in the Terminology and Policy Board , contributing to the definition, alignment, and governance of delivery-related terminology and policies ## Qualifiche Education & Certifications - Academic Background: Master’s degree in Business Administration, Finance, Engineering Management, or a related field - Professional Certifications: PMP (Project Management Professional), PfMP (Portfolio Management Professional), or Prince2 Practitioner is highly desirable - Methodology: Formal training or certification in BPMN 2.0 (Business Process Model and Notation) Professional Experience - Portfolio Management: 5–8 years of experience in Project Portfolio Management (PPM) or PMO leadership within a large-scale, international organization - Financial Acumen: Proven track record in financial controlling, budget management, and project forecasting.
You must be comfortable "challenging" financial data and variance reports - Industry Expertise: In-depth knowledge of Avaloq internal processes is a significant advantage (or mandatory, depending on your priority) - Stakeholder Management: Extensive experience in coordinating and influencing Senior Management, Program Managers, and Financial Controllers Technical Skills - Project Tooling: Advanced proficiency in Jira (including Portfolio/Advanced Roadmaps) and Confluence - Process Modeling: Hands-on experience with Adonis , Signavio, or similar BPM tools for documenting and maintaining delivery standards - Data & Reporting: Advanced Excel skills (Power Query, Pivot Tables) and experience with BI tools (e.g., PowerBI, Tableau) to drive regional reporting - Frameworks: Solid understanding of both Waterfall and Agile delivery methodologies Soft Skills & Competencies - Analytical Rigor: Exceptional attention to detail with the ability to reconcile discrepancies between operational data (Jira) and financial forecasts - Communication Excellence: Ability to articulate complex process changes and delivery standards clearly to diverse audiences across different regions - Quality Orientation: A "zero-defect" mindset regarding the quality of Project Status Reports (PSR) and documentation - Languages: Full professional proficiency in English is required.
