Main responsibilities

- Provide proactive executive support to the Head of SI CTO by managing calendars, priorities, correspondence, and daily coordination with professionalism and discretion
- Act as a trusted point of contact for internal and external stakeholders, ensuring efficient communication and seamless information flow
- Draft and manage executive correspondence in German and English, demonstrating excellent judgment, cultural awareness, and an executive-level communication style
- Plan, organize, and facilitate leadership meetings, workshops, and events, including agendas, briefing materials, logistics, travel arrangements, catering, and expense reconciliation
- Anticipate business needs, identify opportunities to improve ways of working, and leverage modern productivity and AI tools to enhance efficiency and collaboration Project Coordination & Content (approximately 50%)
- Help the SI CTO Head stay focused on strategic goals by managing competing priorities and surfacing the right information at the right time
- Prepare and edit high-quality content such as decision briefings, presentations, reports, and executive summaries for leadership forums and external engagements
- Lead and coordinate high-priority and strategic initiatives for the SI CTO Head - from planning through execution, connecting workstreams and ensuring timely delivery
- Maintain action trackers, decision logs, and follow-up mechanisms across the leadership team - ensuring accountability, transparency, and consistent progress toward agreed outcomes

- Your Mission As Executive Assistant & Project Coordinator , you will play a key role in enabling the Head of SI CTO and the leadership team to operate effectively.
- This is a hybrid role that combines executive support, project coordination, and leadership enablement in equal measure You will ensure the smooth day-to-day operation of the executive office while coordinating strategic initiatives, preparing high-quality executive content, and driving follow-up across the leadership team.
- Strong organizational skills with excellent attention to detail and a structured, solution-oriented approach.
- Ability to work independently, exercise sound judgment, and proactively solve problems in a dynamic environment.
- Excellent written and verbal communication skills in German and English, including experience preparing executive correspondence and presentations.
- Strong proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, Copilot) and confidence in adopting new digital and AI-based productivity tools. Preferred
- Experience working in a matrix organization with exposure to senior leadership.
- Familiarity with technology or engineering environments and an interest in understanding technical topics.
- Experience supporting strategic initiatives, governance processes, or cross-functional projects.
