Role overview
From 1 January 2027 or by agreement, due to the retirement of the current incumbent, we are looking for an engaged and structured personality with strong organizational talent, a high degree of independence, loyalty, and discretion to provide professional administrative and organizational support to our Executive Board.
- Preparation, minute-taking, and follow-up of Executive Board, Board of Directors, and Board Committee meetings according to the defined committee allocation
- Structured compilation, filing, and archiving of Executive Board, committee, and meeting documents
- Deputizing in the drafting of contracts and the administrative processing for affiliated and consulting physicians
- Administrative support of COO, CFO, and CNO as needed
- Support in the operational day-to-day business of the Executive Secretariat
- Deputizing in the Executive Secretariat
- Preparation of presentations, meeting, and decision-making documents
- Editing and proofreading of texts
- Minute-taking in other assigned committees, meetings, and workshops
- Support for internal and external meetings, workshops, and events
- Administrative support for projects and special assignments of the Executive Board
- Maintenance of committee-related overviews, pending task lists, and documentation
- Deputizing in the supervision of apprentices in the commercial (KV) area
- Completed commercial training or equivalent basic education
- Further education as Executive Assistant, Management Assistant, or in a comparable function
- Several years of professional experience in a comparable function at Executive Board/Management Board level, ideally in healthcare or in a complex service organization
- Sound experience in the preparation, organization, and minute-taking of committee meetings (Executive Board/Board of Directors)
- Very good German language skills, both spoken and written (stylistically confident, editorial proficiency)
- Very good MS Office skills and confident handling of digital application tools
- Confident and discreet handling of confidential information as well as knowledge of relevant data protection and governance requirements
- High loyalty and absolute discretion
- Resilience as well as calm and solution-oriented behavior in demanding situations
- Strong teamwork skills and willingness to deputize in the Executive Secretariat
