Role overview
As part of the reorganization of the management of the secretariats of the Department of Medicine (DMED), you play a central role in coordinating and steering the medical secretariats.
Attached or hierarchically attached to the coordinator of the DMED secretariat, you are responsible for the organisation, supervision and proper functioning of the secretariats of two departments, in accordance with departmental and institutional guidelines.
You plan, coordinate and supervise all the medical secretarial and patient care activities.
You set up processes to ensure the quality of services, the harmonization of professional practices and administrative coherence within the department.
You also set up processes to ensure the programming and follow-up of the exams of the denoscopy trays and ensure its proper functioning.
In close collaboration with the Chief Medical Officers, you contribute to a smooth communication between the medical and administrative teams and regularly inform them of procedures and developments affecting the secretariats.
You guarantee the proper management of patients' medical records, from their constitution to their updating and filing, including external documentation.
You monitor and finalize clinical documentation, as well as compliance with institutional requirements and deadlines.
You supervise, motivate and accompany the collaborators placed under your responsibility.
You ensure that resources match the workload, manage schedules and replacements.
