Role overview
Your missions and responsibilities At reception and reception level:
- Welcome and redirect clients, visitors, partners, IMAD employees courteously and professionally
- Accompany visitors to their meeting place
- Informing and promoting IMAD services
- Accurately identify requests from visitors and/or other services and then process them
- Provide quality beverage and small restaurant service to visitors of the reception area, as well as in meeting rooms
- Ensure telephone response and accept customer requests
- Distribute calls quickly and professionally to relevant interlocutors
- Distribute information and leaflets from the Geneva Health Network on request
- Make available, keep up-to-date documentation displays, journals and brochures, the bulletin board of the reception space and common places, including inventory management
- Managing, monitoring and promoting IMAD concierge services
- Maintain the various distribution and tracking lists.
At the secretariat level
- Providing the various administrative tasks related to the secretariat
- Participate and take minutes of meetings, prepare letters
- Maintain the classification of procedures, directives and documents relating to the proper functioning of the structure
- Establish and monitor attendance statistics
- Receive, sort and distribute received mail
- Manage and process email boxes
- Bringing administrative support to the various services of the institution at the request of the hierarchy.
- SWC trade employee or training deemed equivalent
- Three years of professional experience in a secretarial, receptionist or similar function
- Experience or training in hotel and catering is an asset
- Very good editorial capacity in French
- Very good knowledge of standard Microsoft Office IT tools (Windows, Word, Excel)
- Ability to work with method, precision and anticipation
- Capacity to take initiatives
- Ability to perform multiple tasks and work as a team
- Having a sense of understanding in communication and human contact
- Ability to listen, transmit information and identify priorities
- Knowledge of the English language (equivalent B1) desired
- Very good stress management
- Excellent presentation.
