Role overview
Introduction For our Coordination & Administration department, we are looking for an Assistant (H/F) whose main mission is to provide high-quality administrative support to contract management activities and procurement interfaces, ensuring documentary compliance, proper application of processes and reliability of associated models and tools.
The position is part of a high value-added service that aims to support business teams through reliable, structured, digitalized and quality-oriented services.
Responsibilities
- Provide support for administrative management of contracts
- Participate in the management, updating and reliability of documentary models
- Provide administrative support to the activity manager
- Support internal users in a procurement-oriented environment
- Ensuring the quality, consistency and conformity of the documents processed
- Contribute to compliance and improvement of administrative processes, procedures and standards
- Monitor applications in dedicated tools and contribute to smooth administrative processing
- Collaborate with several internal interlocutors in a logic of outreach service and internal customer orientation
- Contribute to the operational functioning of the service by providing cross-cutting support for coordination, communication, document management and monitoring of activities, with a proactive, reliable and collaborative approach.
Profile
- Training: SWC trade employee, professional maturity
- Confirmed administrative experience, ideally in a structured, demanding or supportive environment
- Very good ease in document processing, administrative management and case tracking
- High interest in standard processes, procedures and environments
- Excellent mastery of Microsoft 365 tools: Outlook, Word, Excel, PowerPoint, Teams, OneNote, SharePoint
- Strong ability to work with collaborative and digital tools
- Knowledge of IVALUA, DocuSign and Visio is a strong asset
- Interest in generic AI tools, including Copilot, with the ability to formulate prompts in a relevant and effective way
- Very good organisational and prioritisation capacity
- Support in the simultaneous management of several requests and interlocutors
- Appetence for cross-cutting coordination, planning and support tasks
- Service and confidentiality, rigour and reliability
- Team spirit, adaptability, autonomy within the defined framework, relationship ease
- Master's in English (B2).
