- Institute and secretarial administration (main task)
- Independent management of the Secretariat as well as deputy management of the ARTORG
- Comprehensive administrative and organisational support for research group leaders and their teams Coordination of administrative processes
- Correspondence and maintenance of filings, data and documentation
Company and context
- Assistance in the organization and support of workshops, conferences and institute events (including travel and hotel bookings for guests) Office supplies procurement Personal administration
- Complete handling of personnel processes for cantonal and third-party employees as well as scholarship holders (recruitment, entries, mutations, resignations)
- Preparation of all necessary documents for the employment of foreign employees (EU and third countries)
- Creation of job advertisements, job descriptions, employment certificates, etc.
- Responsibility for absenteeism and time control (JAZ officer*r) Financial administration
- Controlling operational credit and third-party accounts
- Creditor/creditor workflow (including use of financial reporting and e-forms)
- Preparation and recording of expense reports and flat-rate allowances
- Responsibility for the Internal Control System (ICS)
