• Business Management support for the COO
• Managing the governance of outsourcing, and 3rd party services in general, for UBP Asia, to ensure that the outsourced services are managed in accordance with local regulations
• Coordinator and Secretary of UBP Asia Support and Control Management Committee
• Coordinator and Secretary of UBP HK Outsourcing Committee and UBP SG Third Party Service Provider Management Committee
• Develop and/or administer other governance programme for UBP Asia
• Secretary of UBP HK Branch ExCo
• Business Contingency Management (BCM) coordinator for HK
• Manage Business Contingency Plans for HK
• Develop and administer the Operational Resiliency framework
• Event management and escalation (e.g. Typhoon, business critical incident)
• BCP reporting
• BCP and DR test management, coordination and reporting
• Project Management support for COO
• Asia PM resource to manage or co-ordinate Asia projects as required
• Support internal and external assessments on matters pertaining the support and control functions as required
• Comply with external and internal compliance and regulatory requirements, including the Bank’s policies, operating procedures and controls to meet the Bank’s and regulatory requirements and protect the business from financial and reputational risk
• Supports the strategy and delivery of all General Services activities for the branch including, but not limited to: facilities management; office space planning; procurement; landlord-tenant relations; client reception operations.
• Support the CE and COO on real-estate planning, and negotiation and entering into rental or other real estate related arrangements with landlord and third parties.
• Manage procurement process and be responsible for suppliers management, ensuring suppliers are on-boarded in a manner which conforms to the global procurement policy.
• Pursue CSR standards pertaining facilities, e.g. energy efficient lighting etc, and support the bank’s CSR process including annual carbon footprint calculation.
• Manage secure documents archival and destruction service for UBP HK by engaging and managing specialized third party service provider.
• Support Crisis Management and Security as needed from a Facilities perspective.
• Supervise the General Services Manager of UBP HK and other staff of the department.
• Engage in budget planning and human resources planning for the General Services department.
